Make every name easy to recognize
Give parents an obvious counselor name and cabin assignment at drop-off, with matching staff badges and separate camper tags. Print the cabin lists together and choose holders or protection suited to the activities where the badges will be worn.

Make counselor names and cabin assignments prominent so parents can identify the right staff member during arrival. Use distinct staff and camper layouts and print each cabin list together for easier distribution.
Water, sun and lanyards at the waterfront
Choose badge protection and attachments appropriate to the activity, following the camp's rules around water, climbing and moving equipment. Ordinary paper inserts may not withstand wet conditions, so keep replacements available and remove badges where required.

List staff with role and cabin
Paste each staff member as Name, Title, Company, Group, with the role as Title and the cabin or unit as Group: Sunny, Counselor, Camp Pinecrest, Cabin 4.
Rename groups and compare colors
Override awkward labels (Cabin 4 can read Bears), then preview a few units side by side; choosing your own colors for more than three groups is a Pro feature, not yet available.
Print with toner and seal each badge
Export the PDF with cut lines, print on a laser printer if you can, trim each badge, and seal it in a pouch before the first swim period.
Questions about camp counselor badges
How do I waterproof paper camp counselor badges?
Laminate each badge in a heat or self-seal pouch, or slide it into a resealable waterproof holder. Print with a laser printer when possible, because toner resists water better than most inkjet inks. If you only have inkjet, let the sheets dry for several minutes before trimming and handling, and keep a spare set in the camp office for badges lost to the lake.
Should counselors wear lanyards at the pool or lake?
Many camps ask staff to remove lanyards or switch to clips at the waterfront, climbing wall and ropes course, because a cord around the neck can catch on equipment or get grabbed in the water. Lifeguards are usually identified by guard gear instead of a badge. Your camp's safety policy should decide this, so settle it during staff training before campers arrive.
What should go on a camper's name tag?
Just the first name and the cabin, unit or group, in large type. Skip last names, ages, hometowns and anything medical, because campers wear tags on hikes, field trips and at public pools where strangers can read them. Counselors already carry the full roster and health information on their clipboards, so the tag doesn't need to.
Can we use camp nicknames on staff badges?
Put the camp name in the name column, and if parents need the legal name too, add it in a smaller line using the custom1 field from your CSV. A badge can read Sunny in large type with Sarah Kim, Counselor beneath it, which helps on drop-off day when families only know staff from the emailed roster.
How many sheets do we need for a large camp staff?
The 4 x 3 layout prints six counselor badges per US Letter sheet, so a staff of 60 needs ten sheets. Paste or import the full roster free, then print spare blanks for mid-season hires and visiting specialists.
Do day camp badges need to be different from overnight camp badges?
Day camps see parents twice a day, so staff badges should make pickup easy, with large first names and a clear Pickup or Group Leader label. Overnight camps see parents mostly on arrival and departure days, so badges can focus on roles inside camp, like Unit Leader or Health Center. In both cases, a badge helps people recognize staff but doesn't verify who may pick up a child.
