Make every name easy to recognize

Help patients and visitors identify nursing, transport, interpreter and support staff with a prominent role line and readable name. Apply your department colors to one layout and print cards that supplement the identification your facility already issues.

Groups people often use

  • Nursing
  • Transport
  • Environmental Services
  • Food and Nutrition
  • Pharmacy
  • Interpreter Services
  • Volunteer
  • Lab

What to include

  • One large role word in uppercase, such as RN, TRANSPORT or INTERPRETER
  • Staff first name, or full name if your policy calls for it
  • Department name, with an accent color for each department
  • Languages spoken on interpreter cards, such as Spanish or ASL
  • Hospital logo tucked in a corner so the role word stays dominant
  • Event name and date on temporary drill or event badges

Designing badge buddy role cards that read from the doorway

Use a large, high-contrast role word on a supplementary card positioned so it remains visible beneath the official ID. Check the final dimensions and attachment with the facility before printing, because standard card holders may not fit an extended role card.

Departments, volunteers and support staff as badge groups

Put departments or staff groups in a consistent Group column, with clear text for roles such as Transport, Interpreter or Volunteer. Use approved colors and wording, keeping the person's name readable even when the department label is long.

Temporary role badges for emergency drills and hospital events

Create separate event or drill badges with dates and clear role labels so they cannot be confused with everyday staff IDs. Print from the approved participant list and use the same roster for check-in and assignment changes.

How to make hospital staff badges

  1. Choose a role card base

Open Nurse Credential or Visitor Pass, switch the size to CR80 ID card, and make the role text the largest element. Set it to uppercase in Bebas Neue or Oswald so a word like INTERPRETER still fits once auto-fit kicks in.

  2. Add role and department columns

In your CSV, list Name, Role, Department and Languages. Map Role to Title, Department to Group and Languages to the custom field, so Pharmacy, Transport and Food and Nutrition each print with their own accent color.

  3. Review each department before printing

Click through a few people from every department and open the sheet preview. Sort the spreadsheet by department before uploading, so each printed sheet comes out grouped and easy to hand to a manager.

  4. Print and pair cards with IDs

Run the alignment test page, then export PDF sheets with cut lines and trim. Hand out each role card with a rigid holder so staff can place it behind their facility ID.

Questions about hospital staff badges

What is a badge buddy, and can I print one with this maker?

A badge buddy is a role card worn behind or alongside a hospital ID, usually with a large role word and a color band so patients can see someone's job at a glance. You can design one here at CR80 size, print it on cardstock, and slide it into the same holder as the ID. The maker prints paper cards and does not sell ready-made plastic ones.

Can staff wipe down a printed role card between patient rooms?

Not the paper itself. Put each card in a sealed rigid holder, then clean the holder with whatever your infection prevention team approves for plastics. A laminating pouch is another option if your hospital permits it. Replace any card that gets moisture inside the holder, since damp cardstock can smear, especially when it came from an inkjet printer.

Should hospital staff role cards include a photo of each employee?

You can give each person their own photo, though most hospitals leave photos to the official ID they issue. That split works well: the ID proves identity, and the role card simply makes the job readable from across the room. Keep the hospital logo small and the role word large, and follow your badge office's rules on what staff wear beside an official ID.

How do I color-code hospital departments on staff badges?

Put each hospital department in the Group column to assign automatic accent colors across the staff list. You can customize colors and shorten labels for up to three departments, such as printing EVS for Environmental Services, while other departments keep their assigned colors.

Can printed role cards be used for hospital access or visitor control?

No, paper cards have no encoding, barcodes or anti-counterfeit features, and anyone with a printer could copy one. Treat them as readability aids only. Access to units, pharmacies and supply rooms stays with your badge office and security team, and visitor identification should follow your hospital's own check-in process.

What should a hospital interpreter's role card say?

Lead with INTERPRETER in large letters, then the languages, such as Spanish or Vietnamese, and the person's first name. Keep the language list short so it stays readable; a second card for the back of the holder can list more. Patients and families may point to the card when they need help, so large plain text matters more than decoration.
