Make every name easy to recognize

Help guests find the right person by pairing a large STAFF or ASK ME label with each team member's first name and role. Use one list to prepare badges for reception, floor staff and support teams, with group colors that separate responsibilities.

Groups people often use

  • Manager
  • Front Desk
  • Guest Services
  • Events Team
  • Box Office
  • Seasonal

What to include

  • A STAFF or ASK ME label in capitals, big enough to read before the name is
  • First name as the main line; add a last name only if your venue's policy calls for it
  • Role or team from the Group column (Front Desk, Guest Services, Events Team)
  • A color band or background that no guest, member or exhibitor badge uses
  • Venue or organization logo, kept small so it doesn't compete with the STAFF label
  • A short help line in custom1, such as "Tours and tickets" or "Lost and found"

Make staff stand out from guests at a glance

Give STAFF or ASK ME a prominent position and use a badge color that differs from guest badges, with the person's name beneath it. Test the layout at actual size so the role remains clear in a busy room.

Role groups for front desk, guest services and event teams

Use Group for jobs such as Reception, Guest Services and Event Support, then add a more specific assignment in a secondary field. Keep role names consistent across the list so each team receives the same label and accent color.

Seasonal and temporary staff turnover

Keep your staff badge design as a downloadable file and update the people list when seasonal workers arrive or assignments change. Print replacement inserts in small batches rather than rebuilding the layout for every shift.

How to make staff name badges

  1. Pick Modern Stripe at 4 x 3

Open Modern Stripe, or Festival Staff switched from its 4 x 6 default to 4 x 3 in the Size panel. Replace the top line with STAFF in uppercase and add your venue logo.

  2. List staff by role

Paste one person per line, such as "Jordan Lee, Concierge, Harbor Hotel, Front Desk", or upload a CSV with Name, Title and Group columns. Each role becomes a group with its own accent color.

  3. Label each group for guests

Override group labels where it helps visitors, such as ASK ME for Guest Services. Step through a manager, a front desk agent and a seasonal hire to confirm the colors differ from your guest badges.

  4. Print spares for mid-season starts

Export sheets with cut lines, trim the 4 x 3 inch inserts, and load clear badge holders. Print a few extra badges per role so someone starting on a Saturday isn't left without one.

Questions about staff name badges

How big should the STAFF label be on a 4 x 3 badge?

Aim for letters that fill most of the badge width, roughly 48 to 72 pt in a condensed display font like Bebas Neue or Oswald for a short word such as STAFF. That lets guests spot the badge from farther away than they could read a name. Keep the first name the second largest item, and make the logo and role line smaller so the label stays the first thing people notice.

Should staff badges use a different color from guest or member badges?

Yes, and the difference should be obvious rather than subtle. If attendee or member badges are white with a thin stripe, give staff a solid dark or saturated background with white text. Pair the color with the word STAFF so guests who don't see color differences still get the message, and steer clear of colors your guest badges already use for VIP or sponsor tiers.

Can I give more than three staff roles their own chosen colors?

Each staff role in the Group column receives an automatic accent color, so five roles can produce five distinct badge designs. Choose exact colors and labels for up to three priority groups, such as Manager, Guest Services and Security.

What should hotel and museum staff badges say besides the name?

A short role and one useful hint for guests. Front Desk, Concierge or Guest Services tells visitors who can help with what, and a custom1 line such as "Tours and tickets" answers the next question before it's asked. Skip last names and internal job codes, since guests don't need them and some staff prefer not to share a full name with the public.

What holders work best for event staff badges worn all day?

For 4 x 3 inch inserts, use clear badge holders on a lanyard, or rigid holders if staff lean over counters and crease soft vinyl. A breakaway lanyard is worth considering for staff who work near equipment or large crowds. Lanyard badges tend to flip around, so you can slide two printed copies back to back in the holder and the name faces out either way.

How do I handle temp workers who start on the day of an event?

Before the event, print a small stack of role-only STAFF badges with the name line removed and a thin rectangle as a write-in rule, then use undo to bring the name back. At check-in, a supervisor writes the first name in marker and hands over a holder. Afterward, add those temps to your spreadsheet so they get a printed badge if they return.
