Tournament Credentials

Most events can start from All Access, Team, Coach, Official, Medical, Media, Volunteer and Vendor, then merge any levels you don't control separately. A small one-day event might fold Vendor into Volunteer and Medical into All Access. Every level you add is another color gate staff must memorize, so match your levels to the zones you actually staff with a person, not to every job title on site.

Not on their own. A paper credential is a visual cue that helps staff spot roles at a glance, and it can be copied or handed to someone else. Pair it with an approved list at each gate, ask for a roster or photo ID at restricted areas, and brief staff to call the tournament desk when a name and a credential don't match.

Add the zones to a spreadsheet column mapped to custom1 and keep the text short, such as Field, Bench or Media Row. If a level reaches many zones, use numbers or letters keyed to a map posted at each gate. Long zone lists make auto-fit shrink the type, so preview your All Access credential, which usually carries the longest list.

Print the full weekend's dates for teams, coaches, officials and staff who attend every day, so nobody needs a new pass on Sunday morning. For one-day volunteers or media, add a day marker such as SUN ONLY in capital letters after their zones. If you can, collect day passes at the exit when that day ends so they can't be reused.

Tournament credentials show names, roles and permitted zones as printed text, with no per-person QR generation or link to a check-in system. Keep an approved roster at each entrance and use your registration platform for any scanning requirements.

Use 4 x 6 lanyard pouches with a zip or fold-over top, and print on cardstock so the credential doesn't curl inside. Laser-printed credentials hold up to rain better than inkjet, which can smear when damp. Give officials and medics who move quickly during games a breakaway lanyard, and remind players to leave credentials in their bags once warmups start.
