Workshop Name Tags
Make workshop name tags with big first names and table colors so a facilitator can call on anyone from the front of the room.
Events and conferences
Recommended templates
- Event header, a big readable name, title and company, and a footer strip colored by attendee type.Use this template
- The classic red HELLO my name is sticker, with the first name in a marker-style script.Use this template
- Name plus a large, friendly pronoun pill so nobody has to guess, with a slim pride stripe.Use this template
Make every name easy to recognize
Give facilitators readable names and table groups before the first activity begins, with one badge layout for the whole workshop. Add a department or topic where it helps introductions, and keep the first name large enough to read from a nearby table.
Groups people often use
- Facilitator
- Participant
- Table A
- Table B
- Table C
- Observer
What to include
- First name in large bold type across the full width of the tag
- Table letter or breakout group, shown as a colored strip and a short label
- Last name and organization in small type for the sign-in desk and follow-up emails
- Pronouns for participants who shared them on the sign-up form
- A distinct Facilitator label so participants know who to ask for help
Sizing first names for a facilitator at the front of the room
Give the first name most of the available width and use a bold font with strong contrast, then check the result at the distance facilitators will read it. Keep company names and other details smaller so the name remains easy to find.
Table colors and breakout groups from one workshop design
Use consistent table or breakout names in the Group column so every participant receives the right accent color and label. Print the group word as well as the color, and keep the same labels on table signs and activity sheets.
Running a multi-session training series with reusable holders
Choose holders that can be collected and reused between sessions, with replacement inserts printed from the same participant list. Keep spare blanks at the training desk for late arrivals and update roles or departments before the next session.
How to make workshop name tags
Choose Conference Classic on Avery 5395
Open Conference Classic, set Size to Avery 5395 for a single-day session, and enlarge the {{first}} line until it fills the width. Its footer strip takes each table's color.
Seat people in the sign-up sheet
Add a Table column to your sign-up spreadsheet with values like Table A or Table B, spread across departments, then save it as CSV and map Table to group.
Mark facilitators with their own group
Give facilitators and guest presenters the group Facilitator so their strip color stands apart from every table, and check one in preview before printing.
Print tags table by table
Sort the CSV by table before you upload so sheets come out grouped, then lay each table's tags at its seats before participants arrive.
Questions about workshop name tags
What size should first names be on workshop name tags?
Make the first name as large as the tag allows while most names still fit on one line. On a 3-3/8 x 2-1/3 inch adhesive tag, roughly 48 to 60 point bold works for short names, and auto-fit shrinks longer ones. Test by printing one sheet, sticking a tag on a chair at the back, and reading it from where the facilitator will stand.
Should I pre-assign tables on training name tags?
Pre-assigning works well when you want people mixed across teams or experience levels, because the color on the tag quietly tells them where to sit. Leave tables off when the session relies on people choosing groups by interest. In that case, print tags without table groups and hand out colored dot stickers at the door once people pick.
How long do adhesive workshop name tags stay stuck?
Plan on a single day. Adhesive badges hold best on smooth cotton and synthetic fabrics and start to curl as people move, sit and lean over tables. They are not designed to be peeled off and reapplied the next morning. For two-day or weekly trainings, print on 4 x 3 inch inserts and use clip or lanyard holders instead.
How do I add a new person to a seminar series without reprinting everyone?
Open the maker in the same browser, where your design autosaves, and paste in only the newcomers' names. Preview their tags, then export and print a partial sheet. Plain paper inserts trim easily with a paper cutter, so a sheet with two names on it is fine. File the new holders with the rest before the next session.
Do pronouns belong on name tags at a professional training?
Offer the option rather than requiring it. Add an optional pronouns question to registration, map it to the pronouns field, and fill it only for people who answered; the Pronoun Badge template has a spot built in. Facilitators can model it by including their own if they are comfortable, and nobody should guess on a participant's behalf.
