What to include
- The role in large uppercase letters, such as CONCESSIONS, SCOREKEEPER or FIELD MARSHAL

- The team or division the parent is covering for
- Your league logo so visiting teams know the person works the event
- A radio channel in Custom 1 for marshals and first aid, if your event uses radios
Role colors for concessions, scorekeepers and field marshals
Assign a Group value for each job, such as Concessions, Scorekeeping or Parking, and print the role as text alongside its accent color. Use the same labels in the volunteer schedule so coordinators can match a badge to an assignment.
Shift times and swaps on parent volunteer badges
Add a short shift time and location, then update the roster before printing a replacement when parents swap jobs. Keep the current schedule with each team lead because a badge alone cannot show changes made after printing.
Background screening is set by your league, not the badge
Issue badges according to the league's volunteer approval process and check eligibility in its official records. A printed name and role label helps people identify an assignment, but does not verify background screening or authorize access on its own.
How to make sports volunteer badges
Start from Volunteer Heart at 4 x 3
Open Volunteer Heart in Templates and keep the 4 x 3 landscape size. Add the league logo from the Logo tab and set the role text to uppercase so it reads from the next field over.
Paste volunteers with shift and team
In People, paste one volunteer per line as Name, Shift, Team, Role, for example Dana Ruiz, Sat 8:00 to 11:00 AM, Tigers U12, Concessions. A long season sign-up sheet can come in as a CSV instead.
Tune role colors and labels
Each role in the Group column gets its own accent color. Use the label override to shorten Field Marshal to MARSHAL if it crowds the strip, then step through the preview to confirm first aid stands out.
Print and bundle by station and shift
Export the PDF with cut lines, trim, and bundle badges by station in shift order. For last-minute fill-ins, add a few rows with a line of underscores as the name and the role filled in.

What should a concession stand volunteer name tag say?
Lead with CONCESSIONS in large letters, then the volunteer's first name, the shift window and the team they are covering for. Skip last names when teens are helping behind the counter. Using one consistent color for everyone at the stand also helps the coordinator see who has been working longest and needs a break.
How do I put shift times on youth sports volunteer badges?
Type the shift in the second slot when you paste names (Name, Title, Company, Group), or map a Shift column to Title when you upload a CSV. Write times the way your sign-up sheet does, such as Sat 11:00 AM to 2:00 PM. Make sure a text box on the badge uses {{title}} so each person's window prints under their name.
Does a sports volunteer badge show that someone passed a background check?
No, a printed badge only shows the name and role you typed, and anyone with a printer could make one. Screening and training requirements for adults who work with kids are set by your league, so ask your league which roles need them and how it records who is cleared. Keep that record in the league's own system, not on the badge.
Should field marshals and parking volunteers wear lanyards or stickers outdoors?
Use 4 x 3 inch clear holders on lanyards or clips for anyone outside all day, since adhesive badges tend to lose their grip on mesh vests and damp shirts. Inkjet ink can run if a paper badge gets soaked, so a laser printer or a zip-top pouch helps on rainy tournament days. Marshals walking between fields often prefer a clip that doesn't swing.
