How to make retail name tags
Open Retail Friendly
Start from the Retail Friendly template, which already uses the CR80 card size. Add your store logo and set the first name in a bold sans font like Montserrat or Manrope.
Set up the store roster CSV
Use columns for Name (the first name as it should print), Department and Languages. Map Department to Group and Languages to custom1, filling empty cells with "Here to help".
Color each department
Preview one employee from each department and adjust accent colors and group labels until Garden Center, Electronics and Front End are easy to tell apart from a few steps away.
Cut, protect and file the PDF
Print the sheets on cardstock, trim along the cut lines, and slide each tag into a rigid holder or laminate it. Save the PDF so a lost tag can be reprinted on the spot.
Questions about retail name tags
Should retail employees wear their full name on a name tag?
Many retailers print first names only, and it's the safer default for staff privacy. A full name makes it easy for a customer to find someone on social media after a tense exchange at the register. If two employees share a first name, add a last initial. Keep full legal names in your HR records rather than on the sales floor, and let each person choose the name they go by.
How do I add "Hablo español" to some store tags but not others?
Add a column called Languages to your roster CSV, type the phrase for each employee who speaks that language, and map the column to custom1 when you upload. Place the {{custom1}} token on the tag under the name. Fill the other rows with a general line like "Happy to help" so every tag looks finished, and add a highlight box behind the phrase if you want it to stand out.
Clip, pin or magnet: which back is best for retail name tags?
Clips are the easiest match for printed card holders: they grip a shirt placket, pocket or apron strap and leave no holes. Pins hold firmly but can leave marks in thin polos. Magnetic backs avoid holes and look neat, but you'd buy them, or magnetic holders, from a badge supplier, since this site only prints the tags. Strong magnets can drag down a lightweight shirt, so test one first.
How can we make name tags quickly for holiday seasonal hires?

The PDF sheets are designed for paper or cardstock in a regular printer, while direct PVC printing requires compatible equipment and a separate workflow. Print and trim CR80 inserts for rigid holders if you need tags now, since printed plastic tag orders are not available here.
Can store name tags match our brand colors and logo?
Set the background, text and accent strip colors to your brand values, and upload your logo as a PNG, JPG or WebP file up to 8 MB. SVG logos aren't accepted, so export a PNG from your brand kit first, ideally with a transparent background so it sits cleanly on a colored tag. Print one test sheet, because printed colors rarely match the screen exactly.
